Setting advanced selection criteria

Module Search Criteria, Report range selection, and Activity Range Filters all provide Advanced Mode search options. In advanced mode sophisticated searches can be set up by defining criteria for just about any of the relevant data fields.

To set up a selection criteria:

  1. Choose a data field from the first drop-down list.
  2. Choose a selection condition from the second drop-down list.
  3. Set the selection parameters.
  4. If you have more than one criterion, you can combine them in different ways with logic 'Joins'.

Data Fields

All the data fields available for testing are listed alphabetically in a drop-down list box; scroll down the list to find the one you want.

Selection Conditions

The available test conditions are:

Selection Parameters

All criteria take at least one parameter; this is the value against which the real data is tested. Criteria that involve a range, such as Is In Range take two parameters to set.

For the most of the selection conditions entering the parameters is just a matter of entering the data that defines the appropriate limit, for example if your condition is Is In Range, your parameters might be BAKER and BLOGGS

For parameters with the pattern matching conditions, Matches Pattern and Does Not Match Pattern, the following rules apply

Case is ignored.
e.g. steel would match with STEEL, Steel or steel.
? can be used to match with any single character.
e.g. L?ncs would match with Lincs and LANCS.
* can be used to match with any sequence of characters (including none at all).
e.g. L?nc*s* would match with Lincs, Lancs or Lancashire.

If you prefer case-sensitive matching, that can be turned on as a preference. It is also possible to turn on full Unix style regular expressions in place of the above "wildcards" if desired.

Joins

As well as being able to define individual selection criteria, the criteria can be combined using "or" logic as well as the usual "and" logic. e.g. you could define a set of customer criteria that would select customers with account balance less than 500.00 or last invoice before 01/08/2001.

N.B. Each 'or' condition separates a group of criteria joined by 'and'. The criteria give an overall pass as soon as an account passes any complete group of 'and' joined criteria. A group might consist of only 1 criterion.
